We are looking for a proactive and organised Office Assistant / Front Desk (Fixed-term contract). to ensure the smooth day-to-day operation of the office and to support HR-related administrative and onboarding processes.

Key Responsibilities:

Reception & Office Management

  • Open the office and manage daily office readiness (lights, air conditioning, etc.).

  • Welcome and assist visitors, including clients, employees, partners and suppliers.

  • Offer refreshments to visitors (water, tea, coffee).

  • Organise meeting rooms and ensure they are properly equipped and in good condition.

  • Order and manage office supplies and stationery.

  • Receive and distribute incoming mail and parcels.

  • Clean and maintain the coffee machine.

  • Monitor cleaning tasks and report maintenance issues.

  • Order cleaning products and coordinate mop laundry services.

  • Maintain regular communication with office-related suppliers (air conditioning, access systems, alarms, coffee machine, cleaning services, property management, curtain and carpet cleaning, etc.).

  • Request quotations, coordinate service execution and send supplier invoices to HR for payment processing.

Office Supplies & Pantry Management

  • Keep track of office consumables purchases using Excel.

  • Place weekly orders for fruit, coffee, tea, beverages and other supplies.

  • Receive deliveries and organise stock.

  • Ensure kitchen and dining areas are clean, organised and fully stocked.

Support across different departments

  • Be part of the emergency response team (evacuation procedures, etc.).

  • Manage access systems for new hires through HID Origo.

  • Deactivate access for employees leaving the company.

  • Manage train ticket purchases and hotel bookings for remote hires when required.

  • Prepare employee welcome packs (t-shirt, backpack, notebook, pen).

  • Support the organisation of breakfasts or lunches for new joiners.

Required Skills and Experience

…and you have:

  • Previous experience in office assistance, front desk, administration or similar roles

  • A high level of autonomy and sense of responsibility

  • Strong organisational and multitasking skills

  • A proactive mindset and a hands-on attitude

  • Problem-solving skills and the ability to handle day-to-day situations independently

  • Attention to detail and good follow-up skills

  • Good Excel skills for tracking and reporting

  • Bilingual level in Spanish and English (spoken and written)

  • Strong communication and interpersonal skills

  • Ability to work in an international and multicultural environment

  • Permission to work within the EU is a must.
